Patient Contact/ Pharmacy Name Change

Patients at any time can change Pharmacies which requires for them to be changed on EMR to make sure patients are able to receive new electronic prescriptions as well as refills. Correctly changing the pharmacy is imperative at the time of transmitting the order to make sure the order is processed for the patient. To remove a pharmacy from the patients contact list locate the corresponding patients chart, Click on Registration, Select the Contacts tab which will appear as shown below. Under the Contacts tab you are able to see the current electronic pharmacy registered for the patient. To remove the pharmacy select the pharmacy and click on remove.

Adding a pharmacy can be done in two different ways. The first way to add an electronic pharmacy can be done once you are on the contacts tab. Click on New, The New Contact screen will appear where you are able to select the new electronic Pharmacy. Type the name of the pharmacy and click OK. Locate the corresponding electronic pharmacy for the patient. Pharmacy at that point will now be added as a contact for the patient. In the event that the desired pharmacy is not listed please contact the EMR Department to have the pharmacy added.

The second way to add a pharmacy to the patient’s contacts can be done during any update. Under the Prescriptions Form you are able to click on Select under the Pharmacy, search for the desired electronic pharmacy. Make sure to select the option that states “Add this pharmacy to the patients contact list” which will add it to the patients contact list.
When changing an electronic pharmacy contact it is important not to select Change under the contact tab as this will affect the transmission of the electronic prescription to the pharmacy.

Notes to Pharmacy

When creating an electronic prescription it is important not to include any of the following in the section “Note to Pharmacy”: Patient Instructions, Effective Date, Drug Name, Strength, Quantity, Pharmacy Info, Number of Refills, Diagnosis codes, Prescriber info and Generic Substitutions. Designated fields for this information are available to EMR users and should be used at all times.

EMR Announcements

There is currently 2 EMR Announcement(s):
    • Patient portal has gone through some changes that are expected to enhance user experience. All patient/clinic correspondence will now be copied to the patient’s chart as a Patient Portal Message document type. This change was approved by the TTUHSC Compliance Office and affects all Secure Messenger users. We encourage all Faculty and Staff to encourage patients to use Patient Portal as a convenient way to review their medical history, problems, request refills on medications and much more. Please contact the EMR office should you experience any issues with this functionality.

    • Docusign has provided the ability for clinical staff to have consents filled out electronically on an iPad instead of on paper. This process has eliminated time spent on filling out these forms as well as scanning them and uploading them to the patients chart on EMR. Misplacing any forms can be crucial as patient information can be lost and forms would have to be completed again. With the implementation of Docusign in the Department of Obstetrics and Gynecology other clinics like Surgery and GBCC will soon follow.

EMR Known Issues

There are 2 EMR Known Issues:
    • A notification from GE Healthcare was sent to the CIS Department concerning the dosing calculator functionality within the EMR. There is an issue with the calculation feature for pediatric patients. GE is currently working on a solution to the problem, and will notify us when the issue has been resolved. In the meantime, please do not use the dosing calculator for the scenarios described below:
      a) For a pediatric patient that has a weight recorded in their chart, the dosing calculator is calculating higher.
    • Please report any lab values not showing in flowsheets after signing the lab report to the EMR, Labs proxy box in EMR.
